The School of Aviation offers undergraduate and postgraduate programs, including flying training and airborne research. The Flying Operations Unit, located at Bankstown Airport, delivers flying training and supporting theory as required by the Civil Aviation Safety Authority and facilitates airborne research activities.

The Teaching Support Administrative Officer plays a key role within the School of Aviation in effectively supporting and coordinating the teaching and operational functions, ensuring high quality and consistency of the school’s general administration.

The role will work closely with Programs Coordinators, School Manager, Head of School and Course Convenors to support the delivery of undergraduate and postgraduate programs and courses with the use of a variety of software to contribute to the creation, development and preparation of teaching and learning, and promotional resources.


About the role

  • Level 5/6 ($85k - $107k) plus 17% Superannuation and annual leave loading
  • Fixed Term – 12 months
  • Full-time (35 hours per week)

The role reports to the School Manager and has no direct reports.

Specific responsibilities for this role include:

 LEVEL 5:

  • Responsible as the School’s TELT administrator to support teaching staff including course roll over, implement template, upload teaching materials, set up various activities in Moodle to ensure smooth delivery of online contents.
  • Coordinate and assist teaching academics in delivering and editing course materials, setting up online assessments, and ensuring compliance with UNSW processes, as well as managing result submissions, amendments, and re-assessment applications.
  • Coordinate the implementation and organisation of online assessments (via Inspera and/or Moodle), including collating exam papers, supporting exam supervision (as required), and ensuring submission of grades in accordance with School and Faculty procedures and timelines.
  • Act as a triage and escalation point for the School, providing high quality customer service to teaching staff for Learning Management System (Moodle) and Online Assessment Management System (Inspera), while ensuring timely resolution of issues and appropriate escalation of complex matters beyond the Support team.
  • Coordinate the implementation of digital platform to support the delivery of Lifelong Learning courses.
  • Support the coordination and delivery of administration on a range of student-related processes including, but not limited to exams, result release, class utilization, special consideration, course and teaching evaluations (myExperience), plagiarism and student misconduct.
  • Coordinate and maintain administrative systems, including filing, spreadsheets, databases, and websites, while supporting the development and improvement of school processes to enhance efficiency and service delivery.
  • Develop and maintain a wide range of School materials and resources, including (but not limited to) study planners, certificates, timetables, marketing artwork, flyers, brochures, and newsletters.
  • Maintain the School’s website by regularly reviewing content for relevance and accuracy, submitting web update requests, and ensuring timely implementation.
  • Assist the School Manager in the implementation of policies, procedures, and guidelines to ensure the School’s compliance with Faculty and University guidelines, and UNSW Enterprise Agreements.
  • Provide recruitment and onboarding support to the School Manager and Head of School, and deliver administrative assistance to the School WHS Committee, WHS Chair, and other projects as directed by the School Manager.
  • Manage stationery and kitchen supplies while ensuring all school facilities and equipment—including photocopiers, toners, meeting rooms, and shared kitchen areas—are well maintained and fully operational.
  • Provide ad hoc support to the School including organising building access, updating workstation register, generating various student reports, and assisting with general student related administration when needed to support School operations.
  • Assist with catering, functions and marketing events as required (manual handling and physical setup of equipment and materials required).
  • Ensure compliance with regard to confidentiality and ethical practices and ensure privacy is maintained in carrying out day-to-day operations.
  • Align with and actively demonstrate the Code of Conduct and Values.
  • Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others.

LEVEL 6
(in addition to the above)

  • Higher level oversight and management of processes relating to Learning Management System, Online Assessment Management System and School website design.
  • Apply, interpret and advise on policies, systems, manuals, rules, procedures and guidelines relevant to Teaching Support activities across the School.
  • Act as the coordinator for relevant complex processes that involve cooperation between the School and other administrative units.
  • Contribute to a culture of continuous improvement, evaluating existing process, procedures and protocols, to identify opportunities for improvement and implement any approved changes.

LEVEL 5:

To be successful in this role you will have:

  • A relevant degree or equivalent tertiary qualification and relevant administrative and customer service experience in a tertiary organisation (or equivalent level of knowledge gained through any other combination of education, training and/or experience).
  • Highly developed organisational skills including the ability to prioritise, manage complex tasks and projects and meet competing deadlines whilst maintaining accuracy and attention to detail.
  • Excellent interpersonal and communication skills with a demonstrated ability to liaise with and clearly convey ideas to a wide range of internal and external stakeholders from various backgrounds.
  • Proven analytical and problem-solving skills, including the ability to resolve sensitive issues and contribute to the development and interpretation of policies, procedures, and systems.
  • Demonstrated commitment to continuous improvement and innovation in administrative processes and service delivery.
  • Highly proficient in Microsoft Office, Adobe Creative Suite (Illustrator, Photoshop, CMS), and UNSW systems including myUNSW, Inspera, Moodle, SiMs, Archibus, Unispace, Astra, and myExperience.
  • Digital aptitude in education design is highly valued.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.

LEVEL 6
(in addition to the above)

  • Ability to work independently with minimal supervision and work productively as part of a team.
  • Significant relevant experience in a similar role in a tertiary organisation.
  • High level ability to apply knowledge and draw on significant experience to analyse and resolve complex and sensitive issues efficiently and effectively.
  • Substantial experience in providing a broad range of teaching administration support and specialist advice to Academic staff.
