Why your Role Matters:

The Division of Transformation, Planning and Assurance at UNSW was established in July 2020 and combines the functions of risk, safety, governance, legal and compliance, conduct and integrity and national security teams. The Division is dedicated to supporting the University to achieve the goals in Strategy 2025 through the provision of relevant and effective transformation, planning and assurance functions.

The Administration and Operations Officer plays a key role within the Division of Transformation, Planning & Assurance in providing practical and efficient project and operations support. The role entails providing project coordination and support, reporting and operational support, developing communications, building key internal and external relationships, and providing administrative support for key projects, initiatives, and activities.

The role reports to the Director of Operations and has no direct reports.

Responsibilities:

  • Provide project, operational, and administrative support to the Director of Operations and others within the central Transformation, Planning and Assurance team.
  • Support the development, implementation, delivery, operationalisation, reporting, and continuous improvement of projects and initiatives.
  • Coordinate project administration including coordination of workshops and meetings, note taking and distribution, manage assigned actions and follow-ups and project status reporting.
  • Develop and manage all internal and external divisional communications for the Director, including managing and documenting learning items, and assisting with the updating of learning modules and content.
  • Manage the Divisional shared knowledge sites including teams and sharepoint, and organise across division events and education, such as workshops.
  • Develop and maintain effective communication and strong working relationships with stakeholders to achieve a collaborative environment that prospers an engaged and co-operative approach to projects.
  • Support the development of project plans and schedules, monitoring, and reporting on the status of deliverables to ensure time, cost and quality metrics are in line with project objectives.
  • Contribute to the Transformation, Planning and Assurance team culture of continuous improvement by assisting in identifying areas of improvement within business processes.
  • Analyse and provide reporting on key data for the division, including survey results, training requirements, project deliverables and other data as required.

Skills and Experience:

  • Relevant experience or gained through any combination of education, training, and experience.
  • Demonstrated experience in the delivery of project, operational, and administrative support services to senior staff.
  • Strong written and verbal communication skills, with a high level of attention to detail for deliverables produced.
  • Sound stakeholder management skills, with an evidenced ability to liaise effectively and develop relationships with a diverse range of stakeholders.
  • Excellent time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
  • Demonstrated ability to work collaboratively and productively within a team, but also to take initiative and work independently while managing competing demands.
  • Demonstrated ability to work with electronic communications or marketing automation platforms, including Microsoft Teams and Sharepoint.
