Why your role matters

We are seeking an Event Manager to take a leading role within the Registrar & Student Services (RaSS) portfolio, focusing on the planning, development, and execution of events that fall under the Division of Education and Student Experience. This role will oversee the end-to-end management of UNSW Graduations and associated events, ensuring their successful delivery while managing significant resources.

As the Event Manager, you will work closely with a range of stakeholders, including administration teams within Registrar & Student Services, faculties, vendors, estate management, and campus partners, to deliver exceptional graduation experiences that align with the Division’s strategic goals. This position requires a strategic thinker with a commitment to continuous improvement and excellence in event delivery.

Reporting to the Registrar and Director of Student Services, the Event Manager will also lead a team, providing guidance and direction to ensure the successful implementation of all RaSS portfolio event-related activities.

Specific accountabilities for this role include:  

  • Lead in the event planning, coordination and delivery of graduation related events and ceremonies.
  • Develop and implement comprehensive event plans for graduation ceremonies, demonstrating high-level judgment and problem-solving skills to shape policies and procedures to achieve objectives.
  • Coordinate with vendors and suppliers to secure necessary services, equipment, décor for graduation events while managing budgets and contracts.
  • Lead the setup and breakdown of event spaces, ensuring compliance with policies, procedures and safety standards, ensuring optimal experiences for event participants and impacted stakeholders. (

About You:   

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training, and experience.
  • Proven event management experience, with an in-depth understanding of event planning and production in a higher education setting or with large-scale events
  • Advanced written and verbal communication skills, with a high level of attention to detail for deliverables produced.
  • Demonstrated success working effectively and collaboratively on initiatives with a range of stakeholders at different levels within an organisation.
  • Knowledge of budgeting, contract management and resource allocation procedures.
  • Excellent time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
  • Knowledge of event technology and software tools for registration, ticketing and data management.
  • Demonstrated ability to work collaboratively and productively within a team, but also take initiative and work independently while managing competing demands.
  • Flexibility to work evenings, weekends, and extended hours as needed during peak event seasons.
  • Ability to remain calm under pressure and exercise judgment and problem-solving skills in real time during event operations and when shaping policies and procedures.
