Why Your Role Matters

The Administrator, Examinations provides effective day-to-day administrative support within Student Lifecycle to ensure all services are provided efficiently to meet the operating needs of Registrar & Student Services Unit (RaSS) within the Division of the Deputy Vice Chancellor Academic.

Working as part of the Student Lifecyle team, the position is responsible for undertaking a range of high quality, customer focused, core business processes and communications. In addition, this role focuses on the central management of examinations and coordination of student records.

This role reports to the Manager, Examinations and has no direct report.

Main responsibilities Summary

  • Own the maintenance of undergraduate, postgraduate coursework and non-award student academic records
  • Under the direction of the Manager and Team Leader Examinations, assist with the preparation and delivery of all centrally managed examinations both on and off campus
  • Assist with the management of examinations for students with specific examination requirements
  • Develop a thorough knowledge of and be able to interpret UNSW policies and procedures and provide advice to staff and students on the policies and procedures
  • Provide high level administrative support to the Examinations and other nominated teams across Student Lifecycle
  • Develop and maintain detailed filing systems, spreadsheets, databases, websites and other administrative systems
  • Respond to a range of in-person, telephone and email enquiries from internal and external stakeholders, and initiate, action or escalate as necessary
  • Participate in relevant projects and business improvement activities to streamline processes and facilitate administrative efficiency

Who You Are

We are looking for someone who is aligned with UNSW’s vision and values and comes with:

  • Previous administrative and customer service experience, ideally in the higher education sector
  • Advanced time management, organisational, critical thinking and problem-solving skills, including the ability to meet deadlines
  • High attention to detail
  • Ability to make sound judgements and work both independently and as part of a team – you are someone who can take initiative with minimal supervision
  • Proven ability to work in a high volume, process driven, administrative environment with variable workflow patterns
  • High proficiency of computer literacy, working with a range of computer systems and applications, including Microsoft Office 365 suite (Teams, OneDrive, Excel, Word and Outlook)

Working hours are generally Monday to Friday, business hours. During exam weeks (6 weeks per year), full onsite presence, Saturday work, and overtime are required, with compensation provided. The rest of the year, the role is hybrid. We’d like to have the successful candidate start as soon as possible, with an end date in end of May 2026.  The role is vacant due to an employee stepping up into a secondment opportunity within UNSW.
