An Administrative Officer plays a key role in coordinating and managing the general administration within IT and provides practical and proactive administrative services to stakeholders. This includes facilitating effective communication between internal and external stakeholders and supporting directors. The role reports to the IT Admin Team Leader and has no direct reports.
Specific accountabilities for this role include:
- Drive, coordinate, report on, and execute the delivery of various small projects initiatives and other ad hoc programs on behalf of the directors to achieve operational and strategic goals
- Respond to a diverse and complex range of enquires using judgment and initiative whilst applying UNSW policy and procedures with the use of considerable technical skills whilst using discretion and accountability for decision making.
- Prepare briefing notes, agendas, minutes, reports presentations, and other documents as required.
- Manage expenses, credit card transactions, invoices, and travel arrangements for the team with accuracy and promptness and in line with university financial procedures working with Finance Operations as required.
- Support with improvement and implementation of administrative systems and processes, and University policies and procedures.
- Support with the presentation and set up of shared workspaces, including meeting rooms and print rooms.
- Provide practical and proactive administrative services to stakeholders, with reference to and interpretation of UNSW policies.
- Respond to enquiries from stakeholders and provide advice and action as required, adapting techniques, modifying procedures to achieve objectives, and influencing the most appropriate outcome.
- Support the directors with recruitment activities including the onboarding and inclusion of new employees.
- Build and maintain effective relationships with internal and external stakeholders, ensuring customer service is consistently provided at a high level.
- Support directors with calendar management.
- Align with and actively demonstrate the Code of Conduct and Values
- Cooperate with all health & safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the psychosocial or physical health and safety of yourself or others.
Your skills and experience:
- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience. Experience in the tertiary education sector in a similar role would be an advantage but not essential
- Excellent interpersonal, written and verbal communication skills with customer service focus and the ability to liaise and negotiate effectively with all stakeholders.
- Excellent organizational and time management skills, including a demonstrated ability to manage multiple tasks and conflicting deadlines whilst maintaining high level attention to detail.
- Demonstrated ability to apply, interpret, and advise on Policy and Procedure.
- Proven skills in preparing documentation, presentations and reports, and advanced competency in the use of Microsoft Office, including but not limited to Word, Excel, Outlook and Power Point.
- Demonstrated ability to exercise initiative and recommend improvements to systems and processes and capacity and willingness to develop knowledge and understanding of advanced administrative processes.
- Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
