Why The Role Matters:

The Administrative Assistant (Front Desk) provides superior reception and administrative support to staff, students and visitors to UNSW Law & Justice. The administrative assistant is an active and essential member of the Faculty Operations team who provide support to the Faculty Leadership Team and for wider Faculty and Centre events and activities. The role of Administrative Assistant reports to the Operations Manager.


Accountabilities:

  • Manage front desk reception in-person during regular office hours including the provision of reception and telephone/Teams answering services.
  • Act as first point of contact for enquiries made via telephone, Teams, email and in person, ensuring all correspondence is distributed, filtered or re-directed where necessary.
  • Provide accurate information and promptly respond to enquiries of staff, students and visitors as required in a professional and efficient manner.
  • Arrange visitor cards and be responsible for maintaining a register for Faculty operational resources (e.g. keys, moot court access and AV resources).
  • Manage calendars for internal room bookings and make bookings for non-teaching CATS room use.
  • Distribute mail daily, redirect or investigate any misdelivered and returned mail and organise couriers.
  • Provide support when required to the Administrative Assistant for smooth running of events and meetings including room set up and catering requests.
  • Order, maintain and distribute office and stationery supplies and equipment for the Faculty.
  • Report works and services required within the building and follow up on actions.
  • Ensure the front desk working environment is well maintained and utility rooms are kept in order and well equipped, including the maintenance of photocopiers and other office equipment.

Skills and Experience: 

To be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.

  • Relevant administrative and/or receptionist experience or an equivalent level of knowledge gained through any other combination of education, training and/or experience.
  • Demonstrated experience in delivery of quality, professional, customer focussed services to internal and external clients.
  • Demonstrated effective organisational skills including the ability to work independently, prioritise tasks and work to deadlines.
  • Excellent interpersonal, oral and written communication skills including the ability to liaise with people from diverse groups and backgrounds at all levels and to build effective networks and working relationships.
  • Proven effective record keeping skills (both paper and electronic), including the ability to work accurately, with attention to detail.
  • Demonstrated ability to work both independently with minimal supervision, and collaboratively and flexibly as part of an administrative team.
  • Advanced Microsoft Outlook experience, and ability to conduct internet searches and intermediate Word and Excel skills.
