The School of Materials Science and Engineering is one of the top ranked Materials programs in the Asia-

Pacific regions and strongly positioned in every facet of materials science and engineering. It offers undergraduate programs in Materials Science and Engineering (Honours), as well as a number of combined degree programs with Chemical Engineering, Biomedical Engineering and Commerce.

The Administrative Officer (Teaching Support) plays a key role in coordinating and managing the general administration within the School of Materials Science and Engineering and has a particular focus on providing additional teaching and student support.


About the role

  • Level 6 ($96k - $103K) plus 17% superannuation and annual leave loading
  • Fixed Term – 18 months (to December 31st, 2025)
  • Full-time (35 hours per week)

The role reports to the School Manager and has no direct reports. This role collaborates closely with a small administrative team, supporting course convenors and program authorities.

Specific responsibilities for this role include:

  • Coordinate and manage a broad range of administration practices and reporting systems in the School of Materials Science and Engineering.
  • Plan, develop and maintain administrative procedures and processes, providing expert advice in relation to guidelines and activities.
  • Set priorities and monitor workflows within the administrative team as required, providing guidance and training to the administrators and other relevant staff.
  • Assist in the implementation of policies, guidelines and procedures, and play a leading role in their application to ensure the effective operation of the School.
  • Act as the primary contact for postgraduate coursework enquiries, provide back up support for undergraduates when the colleague is on leave. Maintaining effective channels of communication, analysing requests and correspondence to prioritise priorities as well as urgent and often sensitive matters.
  • Oversee and ensure timely and accurate processing of School program specific student enquiries from central student portal.
  • Provide desks and management keys for research students and lockers for undergraduates. Maintain Unispace.
  • Automate routine administrative tasks within Moodle, including setting up course materials, and work with various academic information systems such as ASTRA, ECOS and SIMS.
  • Provide back up support in preparation and processing of casual contracts in line with UNSW’s policies and procedures.
  • Provide secretarial support to program-specific committees and other meetings as required, including booking systems, student experience surveys and assisting with communicating improvements back to students.
  • Liaise with Estate Management for building and lab access.
  • Provide support in the delivery of special projects, initiatives and other ad hoc programs.
  • Align with and actively demonstrate the UNSW Values in Action: Our Behaviours and the UNSW Code of Conduct
  • Cooperate with all health & safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the psychosocial or physical health and safety of yourself or others.

About the successful applicant
(Selection Criteria)

To be successful in this role you will have:

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Excellent time management and organisational skills, and the ability to work well under pressure and manage multiple tasks with competing deadlines.
  • Highly advanced interpersonal, written and oral communication skills.
  • Demonstrated experience providing effective customer service and support to clients at all levels.
  • Demonstrated ability to work collaboratively and productively within a team, but also work independently with initiative to problem solving skills.
  • Highly proficient computer literacy and experience working with a range of computer systems and applications, including the Microsoft Office 365 suite (Teams, OneDrive, Excel, Word, PowerPoint and Outlook) and using UNSW’s enterprise systems.
  • An understanding of, and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
