The Administrator provides day-to-day administrative support within the Division of Equity Diversity and Inclusion (EDI) and ensures all services are provided efficiently to meet the operating needs of the Division. This includes triaging enquiries, purchasing, credit card reconciliations, project administration, coordination of training programs and other administrative support as required.
The role of Administrator reports to the Executive Assistant and has no direct reports.
About the Opportunity
Specific accountabilities for this role include:
- Work in collaboration with the Administration team to provide administrative support to the Office of the DVC EDI and other teams across the Division of EDI. This includes purchasing, reimbursements and credit card acquittals, FSAM, maintaining systems access, document formatting, project administration, coordination of meetings, training programs and room bookings.
- Triage the broad range of enquiries sent to the shared mailboxes of the Division, which requires thorough understanding of the activities of the Division of EDI and UNSW policies and procedures.
- Manage and track on-boarding and off-boarding for staff in the Division of EDI.
- Assist in the development of presentations, reports and other correspondence using UNSW and EDI templates.
- Build and develop effective relationships with key internal & external stakeholders and their support staff, ensuring effective information flow and collaboration.
- Assist in hospitality and liaison for visitors to the Division as required.
- Maintain mailing lists, databases and information lists.
- Review and refine administrative processes to ensure information is accurate and delivered in an efficient and reliable manner.
- Other ad hoc administration tasks and projects as requested by the DVC and/or the Director Operations.

- Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others.
About the Successful Candidate
To be considered for the role you will have:
- A relevant experience in an administrative position or an equivalent level of knowledge gained through other education, training and/or experience.
- Excellent oral, written and interpersonal communication skills and the ability to negotiate and liaise effectively with internal and external stakeholders.
- Demonstrated commitment to providing excellent customer service and a positive, flexible and adaptable attitude with a willingness to take on a wide range of tasks and adjust to competing and shifting priorities in a changing environment.
- High level proficiency in a range of computing skills including Microsoft Office.
- Demonstrated ability to learn and implement new systems.
- Strong organisational and administrative skills and demonstrated ability to prioritise workload and meet deadlines while working in a fast-paced environment with variable workflow patterns.
- Proven ability to apply knowledge and experience to analyse and resolve complex and sensitive issues effectively and develop practical recommendations and solutions.
- An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
- Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.
