As Executive Assistant to the Chief Data Officer, reporting to the Executive Officer, you will be part of a close, high performing trio that thrives on clarity, connection and collaboration. We move quickly, think strategically and keep each other sharp, balancing precision with personality.
You will work closely with the Executive Officer to keep the operational heartbeat of the EDO strong. You will anticipate needs, smooth challenges before they arise and turn ideas into action. Responsibilities
- Provide proactive, high-level executive support to the Chief Data Officer, exercising discretion, initiative and confidentiality.
- Manage a complex calendar and inbox, anticipating needs and keeping priorities on track.
- Act as first point of contact for senior stakeholders; analyse requests, filter correspondence and manage sensitive matters with professionalism.
- Prepare and coordinate briefing packs, governance papers and presentations; ensure the CDO is prepared and actions are tracked.
- Partner with the Executive Officer on operations, governance and communications, including forward planning, action registers and follow-ups.
- Facilitate meetings and events — compile agendas, manage logistics, record minutes and ensure completion of actions.
- Maintain accurate records and clear documentation across SharePoint, Teams and internal systems.
- Draft and edit high-quality correspondence, briefing notes, reports and presentations.
- Build strong relationships across UNSW, maintaining professionalism, tact and discretion.
- Coordinate travel and financial processes, including expenses and invoice payments, in line with UNSW procedures.
- Identify and implement improvements that enhance workflow, communication and stakeholder experience.
Skills and Experience
- Relevant tertiary qualification with subsequent experience, or equivalent competence gained through education and training.
- Demonstrated success supporting senior executives in complex environments; resilient under pressure with sound judgement and integrity.
- Exceptional time-management and organisational skills.
- Proven experience with complex diary and inbox management, and meticulous attention to detail.
- Excellent written and verbal communication skills.
- Strong relationship-building ability; diplomatic, intuitive and confident.
- Experience coordinating meetings and events, including agenda development and minute-taking.
- Tech-savvy with Microsoft 365, Teams and SharePoint.
- Able to work independently and collaboratively as part of a high-performing team.
