The Australian Government’s Women in STEM Ambassador, Prof. Lisa Harvey-Smith, is responsible for increasing the participation of women and girls in science, technology, engineering and mathematics (STEM) studies and careers across Australia. Supported by the Department of Industry, Science, Energy and Resources, the Women in STEM Ambassador’s team works to address gender equity issues across all STEM disciplines in the education and training, research, academic and industry sectors.
The Senior Administrative Officer is responsible for leading and overseeing administrative services and complex reporting related to the operation of the Office of the Women in STEM Ambassador. The role is a key support to ensure the goals and initiatives of the Women in STEM Ambassador’s portfolio are accomplished within designated timeframes and budget.
About the role
- $97k - $105k plus 17% Superannuation and annual leave loading (pro-rated)
- Fixed Term – 19 months
- Part-time (21 hours per week)
The role of Senior Administrative Officer, reports to Associate Professor Lisa Williams, Chief Investigator, Women in STEM Ambassador Grant with a dotted line to the Women in STEM Ambassador.
Specific responsibilities for this role include:
- Support the Chief Investigator and Women in STEM Ambassador to manage resources in line with the program business plans; monitor and review performance against the grant agreement, milestones and KPI’s.
- Oversee administration of the Office of the Women in STEM Ambassador; including but not limited to coordinating monthly project reports, tracking team action-items and documenting project outputs, proof-reading and editing papers, supporting the steering committee and organising travel.
- Liaise with appropriate stakeholders to prepare documentation or reports as required for specific meetings (such as board meetings) and/or interviews.
- Provide administrative and technical advice to key stakeholders. Act as the key contact for the Office of the Woman in STEM Ambassador, responding to queries, prioritising and escalating where appropriate.
- Develop and produce high level reports, evaluation findings, budgets, and financial statements as required.
- Oversee finance administration requests, including but not limited to, purchasing, travel, credit card reconciliation, expense reimbursements, payment requests and billing processes.
- Develop, implement, and maintain systems and procedures to ensure a consistent approach for general administration and support, including document and records management, to ensure compliance with relevant policies and procedures.
- Identify process and workflow improvement opportunities and ensure they are escalated for implementation where appropriate.

About the successful applicant
To be successful in this role you will have:
- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Excellent time management and organisational skills, and the ability to work well under pressure and manage multiple tasks with competing deadlines.
- Highly advanced written and oral communication skills with the ability to write high level reports for senior stakeholders and government departments.
- Process oriented with exceptional attention to detail.
- Excellent stakeholder management skills, with proven ability to influence stakeholders as appropriate to ensure successful engagement outcomes.
- Highly proficient computer literacy with excellent skills in Microsoft Office applications.
- Ability to plan, organise and co-ordinate projects and tasks.
- Excellent numeracy skills with the ability to understand and communicate financial information and monitor budgets.
- An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
- Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.
