The Mindgardens Neuroscience Network (Mindgardens) is revolutionising the care and support of people with mental health, neurological and alcohol and drug disorders, by integrating the most successful clinical approaches from all three medical specialities into a rigorous clinical management and research framework, underpinned by technology.
Mindgardens brings together the strengths of four founding Partner organisations: South East Sydney Local Health District, UNSW Sydney, NeuRA and the Black Dog Institute. Together they form a unique and highly concentrated hub of expertise, centred in the South Eastern Sydney region but with the capacity to serve the whole NSW community.
Spanning clinical, research, service design and system innovations – Mindgardens represents a comprehensive response to creating a strong connection of community care and hospital systems in the delivery and quality of health services for mental health, suicide prevention, drug and alcohol and brain disorders.
The position of Mindgardens Executive Officer is currently open to applications from within the four Partner organisations. It is envisaged that the successful candidate will remain employed by their current Partner organisation and will be seconded to Mindgardens for the duration of the two-year contract.
About the Position
The Executive Officer will play an integral role within Mindgardens by providing high-level and dedicated support to the Director as well as administrative support to relevant stakeholders.
The Executive Office significantly contributes to the implementation and reporting on relevant operational and strategic projects supporting the delivery of Mindgardens strategic goals. The role provides effective management of operational and administrative systems, processes and projects, ensures compliance and reporting requirements with founding Partner organisations and funders as well as legislative/regulator policies and procedures.
Accountabilities
Specific accountabilities for this role include:
- Proactively advise and contribute to the business and operational planning, monitoring and reporting against objectives of Mindgardens whilst exercising discretion, initiative and confidentiality at all times
- Provide high-level advice and executive support to the Director including secretariat administrative support as required including for relevant Committees, meetings and other Mindgardens functions
- Actively support, monitor and report on Mindgardens Project and other relevant initiatives activities, performance indicators and budgets
- Develop, coordinate and produce Mindgardens high-quality documentation e.g. presentations, minutes, papers, briefs and reports as required
- Proactively develop, oversee and review relevant policy, processes and continuous improvement activities related to Mindgardens operations
- Develop internal and external communications on behalf of Director, and liaise with the Executive and Partner organisations to ensure appropriate timely information transfer and reporting
- Ensure the ongoing operations, strategies and businesses of Mindgardens are aligned with Partner organisation requirements and appropriate governance is followed in line relevant policies and procedures
Skills and Experience
To be considered for the position you must be able to demonstrate the following skills and experience:
- Relevant tertiary qualifications with subsequent relevant experience or equivalent competence gained through any combination of health, higher education and/or organisational experience.
- Proven skills and experience in strategic, operational and resource planning within the higher education, health or related sectors, goal setting and project management.
- Demonstrated success designing, managing and delivering organisational, research or health related strategies, projects, programs and initiatives.
- Excellent consultation, influencing and negotiation skills and proven ability to engage effectively with diverse internal and external stakeholders.
- Superior written and verbal communication skills, with a high level of attention to detail for deliverables produced.
- High level organisational, operational and project management skills with proven ability to deal with multiple tasks, establish priorities and meet deadlines.
- Advanced level of computer literacy, working with a range of computer systems and applications, including Excel, Word, Outlook, PowerPoint and databases.
- An understanding of and commitment to founding Partner organisation aims, objectives and values in action, together with relevant policies and guidelines.
